1. Administrative Officer (Junior School)

As an administrator within our Direct Subsidy Scheme IB World School, you will provide efficient and timely administrative support to staff, students and parents, alongside any external stakeholders. 

 

Job Duties:

To provide administrative and operational support to the Junior school Curriculum office for all matters including, but not limited to:

  • Handling School examinations (such as Pre-S1 Test and TSA) related administrative tasks as well as logistic arrangements 

  • Performing data collation and analysis

  • Handling day to day administration of the Office such as data entry, filing, emailing, etc..

  • Assisting and producing various spreadsheets, letters, school notices and paperwork as required for Junior School activities and events

  • Undertaking meeting-related administrative tasks and logistical arrangements (e.g. preparing agendas, minutes, compiling reports, managing schedules, booking and setting up venues) in accordance with school procedures.

  • Supporting pastoral matters on administrative work 

  • Undertaking other ad-hoc duties as assigned by the Junior School Office

 

Requirements:

  • Post-secondary graduated

  • 1-3 years relevant working experience preferred

  • Fresh graduate will be considered

  • Good communication skills (written and spoken) in both English and Chinese, able to speak Mandarin is an advantage

  • Proficient in administration and Information Technology literate (including Google Suite)

  • Proficient in computer skills including MS office, Chinese and English Word Processing

  • Experience of working in a school setting is preferable

  • Polite, self-motivated, organized and detailed-oriented

2. Admission Officer

Responsibilities:

Report to the Principal and Assistant Principal to help the Admission Team process school applications

Work with the current Admission Officer and the Admission Team members to:

  • Process applications through the school's online system

  • Enter data, check and validate submitted documents

  • Respond to admission-related questions from prospective parents

  • Coordinate admission assessments and interviews

 

Collaborate with the Marketing & Communication Team to:

  • Plan and manage the admission events calendar

  • Assist with school tours and information seminars for students and parents

  • Generate admission reports for the Admission Team to track application trends and status

  • Perform other duties assigned by the Principal and Admissions Team

 

Requirements:

  • Post-secondary education or above with minimum 4 years of relevant work experience

  • Enthusiastic, courteous and respectful team player with strong interpersonal skills

  • Fluent in written and spoken English, Chinese and Putonghua

  • Self-motivated, organized and detail-oriented

  • Experience in the education sector and/or public relations/communication fields preferred

  • Proficient in using MS Office, Google Docs, and other communication applications

  • Experience with the "Open Apply" online admission system would be an advantage

3.​ Arts Technician (Full Time)

Position Overview:

We are seeking a dedicated Arts Technician to join our dynamic arts faculty. The principal role of the successful candidate will be facilitating the daily operations in the  Visual Arts rooms, which includes preparing resources for lessons, providing in-class support, assisting with Visual Arts-related activities, and ensuring a safe and clean working environment.  (75%)

(The remaining 25% of the role will involve supporting Arts subjects across Drama and Music.)
In addition, this role may be involved in supporting the other Arts subjects on the request of the Head of Drama or Music. (25%)

Key Responsibilities:

  • Maintain an equipment inventory for both the 5th and 6th floor Arts Rooms (full stock check before s.y. ends and facilitate the restocking of items before s.y. starts).

  • Carry out daily tasks as directed by the heads of subjects within the faculty of Arts.

  • Prepare and organize resources for Visual Arts lessons.

  • Provide in-class support to students and teachers to demonstrate methods and techniques.

  • Ensure all tools and equipment are stored securely after use (perform weekly checks).

  • Ensure all student work is documented and unused materials are returned to appropriate storage areas.

  • Assist in ordering materials and tools as required.

  • Assist with Visual Arts-related events and projects (facilitate in the publication of event  Posters, Exhibition Catalogs, and setting up and taking down of exhibitions)

  • Assist in preparing classroom and corridor displays.

  • Arrange for regular safety inspections of machinery and equipment.

  • Ensure departmental first aid boxes are kept up to date and stocked.

  • Report all Health and Safety hazards to the heads of VA department.

  • Support Drama Music subjects and the Arts Faculty as needed.

 

Qualifications:

  • Post-secondary standard or above.

  • Higher education in the Arts and Design field is preferred.

  • Experience working in an educational institution will be an advantage

  • Ability to work well independently while collaborating in a small team

  • Ability to work flexibly and on own initiative 

  • Ability to prioritize tasks and balance own workload

  • Ability to communicate effectively with staff and students from diverse backgrounds

  • Excellent attention to detail and quality

  • Excellent organizational skills and time management

  • Excellent manual skills

  • Strong interpersonal skills

  • Proficient IT skills (e.g. MS Office, Adobe Photoshop, Illustrator, Indesign, PremierePro ).

  • Fluency in both spoken and written English is preferred, Cantonese and Mandarin would be an advantage

  • A good sense of humor and positive mind set
